Introduction

DiamondsByPost and DiamondsByPost.com are trading names owned and operated by Amit Verma Jewellery LLC, a company registered in the United Arab Emirates.

DiamondsByPost specialises exclusively in the sale of loose lab-grown diamonds. Loose diamonds are high-value, certificate-specific, internationally sourced products. For this reason, all payments may be subject to verification, fraud prevention checks, identity checks, address checks, source-of-funds checks, and internal security review before an order is accepted, processed, shipped, released, reserved, or fulfilled.

This Payment Verification Policy explains how DiamondsByPost verifies customer payments, protects against fraud, handles high-value transactions, and manages suspicious or incomplete payments.

By placing an order with DiamondsByPost or DiamondsByPost.com, the customer agrees to this Payment Verification Policy.

Purpose of This Policy

This policy exists to protect:

1. Customers.

2. DiamondsByPost.

3. Amit Verma Jewellery LLC.

4. Payment processors.

5. Banks.

6. Courier partners.

7. Insurance providers.

8. Diamond suppliers.

9. Fraud prevention partners.

Payment verification is especially important because loose lab-grown diamonds are portable, high-value goods that can be targeted by fraud, stolen card use, identity misuse, chargeback abuse, shipping fraud, and attempted diamond substitution.

Payment Currency

DiamondsByPost may display prices in multiple currencies for customer convenience.

However, payment is accepted in AED . United Arab Emirates Dirhams.

Where prices are displayed in currencies other than AED, those displayed prices are for customer convenience only.

The final order amount, payment settlement, refund calculation, deductions, charges, and accounting records will be based on AED unless DiamondsByPost confirms otherwise in writing.

DiamondsByPost is not responsible for:

1. Currency fluctuations.

2. Exchange rate differences.

3. Card issuer conversion fees.

4. Bank charges.

5. International payment fees.

6. Payment gateway conversion fees.

7. Differences between estimated display currencies and the final AED payment amount.

8. Customer bank or card provider charges.

Accepted Payment Methods

DiamondsByPost may accept payment methods including, but not limited to:

1. Debit card.

2. Credit card.

3. Bank transfer.

4. UAE local bank transfer.

5. International bank transfer.

6. Payment gateway transaction.

7. Other payment methods made available at checkout.

DiamondsByPost reserves the right to accept, reject, suspend, remove, or limit any payment method at any time for operational, security, legal, banking, fraud prevention, or compliance reasons.

A payment being attempted or authorised does not automatically mean that the order has been accepted.

Order Acceptance

An order is not considered fully accepted until DiamondsByPost has confirmed acceptance of the order and completed all required checks.

DiamondsByPost may delay, reject, cancel, or refund an order if:

1. Payment verification is incomplete.

2. Identity verification is incomplete.

3. Address verification fails.

4. The billing and shipping details do not match.

5. The customer does not provide requested information.

6. The payment appears suspicious.

7. The transaction is flagged by our payment processor.

8. The order appears to involve fraud risk.

9. The order appears to involve chargeback risk.

10. The diamond is no longer available.

11. The supplier cannot release the diamond.

12. The order breaches this policy or any other DiamondsByPost policy.

Payment Verification Checks

DiamondsByPost may carry out payment verification checks before processing, reserving, shipping, releasing, or fulfilling any diamond order.

These checks may include:

1. Cardholder name verification.

2. Billing address verification.

3. Shipping address verification.

4. Email verification.

5. Phone number verification.

6. Identity document verification.

7. Bank transfer verification.

8. Source-of-payment verification.

9. Payment gateway risk review.

10. 3D Secure authentication review.

11. IP address review.

12. Device review.

13. Order pattern review.

14. Customer communication review.

15. Sanctions or restricted-party screening where appropriate.

16. Fraud prevention review.

17. Chargeback risk review.

18. Manual internal review.

Identity Verification

DiamondsByPost may request identity verification from the customer before accepting, processing, shipping, or releasing an order.

This may include a request for:

1. Passport.

2. National identity card.

3. Emirates ID.

4. Driving licence.

5. Proof of billing address.

6. Proof of shipping address.

7. Bank transfer receipt.

8. Cardholder confirmation.

9. Payment authorisation evidence.

10. Company documents for business buyers.

11. Any other reasonable verification document.

DiamondsByPost may refuse to process an order if the customer does not provide satisfactory identity verification.

Personal data collected for verification will be handled securely and used only where reasonably necessary for payment verification, fraud prevention, compliance, order fulfilment, dispute defence, legal, insurance, or security purposes.

Card Payment Verification

For card payments, DiamondsByPost may require verification that:

1. The customer is the authorised cardholder.

2. The billing name matches the customer name.

3. The billing address matches the card issuer records.

4. The shipping address is reasonable and verifiable.

5. The card has passed 3D Secure or similar authentication.

6. The transaction has not been flagged as suspicious.

7. The payment gateway has approved the transaction.

8. The payment has not been reversed, disputed, held, or blocked.

DiamondsByPost may refuse to ship an order to a different name, country, hotel, forwarding address, freight forwarder, temporary address, mailbox, or third-party address unless additional verification is completed.

For high-value orders, card payment approval alone may not be enough. DiamondsByPost may still require further verification before processing or shipping.

Bank Transfer Verification

For bank transfers, an order will not be processed, reserved, shipped, or released until DiamondsByPost confirms that cleared funds have been received.

A bank transfer receipt, screenshot, confirmation message, or payment instruction does not prove that funds have cleared.

DiamondsByPost may require:

1. Full payer name.

2. Sending bank name.

3. Transfer reference.

4. Payment amount.

5. Payment currency.

6. Bank confirmation.

7. Proof of source account.

8. Any additional information required to identify the payment.

If the bank transfer is received from a third party, business account, different name, different country, or unconnected payer, DiamondsByPost may request additional verification or reject the payment.

DiamondsByPost is not responsible for delays caused by banks, correspondent banks, compliance checks, payment intermediaries, incorrect references, currency conversion, weekend delays, public holidays, or international banking processing times.

Third-Party Payments

DiamondsByPost may refuse, delay, or investigate payments made by someone other than the named customer.

A third-party payment includes payment made by:

1. A different cardholder.

2. A family member.

3. A friend.

4. A company.

5. A business partner.

6. A payment agent.

7. A foreign bank account.

8. A payment account not controlled by the customer.

DiamondsByPost may require additional documents before accepting a third-party payment.

If the third-party payer cannot be verified, DiamondsByPost may cancel the order and refund the payment to the original payment source where possible.

High-Value Order Checks

Because DiamondsByPost sells loose lab-grown diamonds, high-value orders may receive enhanced verification.

Enhanced verification may apply where:

1. The order value is high.

2. Multiple diamonds are ordered.

3. The customer is new.

4. The billing and shipping countries differ.

5. The shipping address differs from the billing address.

6. The payment method appears unusual.

7. The order is urgent.

8. The order is being shipped internationally.

9. The order is being shipped to a hotel, office, freight forwarder, mailbox, temporary address, or third-party address.

10. The payment processor flags the transaction.

11. The order appears inconsistent with normal customer behaviour.

12. DiamondsByPost believes additional verification is commercially reasonable.

Enhanced verification may include identity checks, address checks, proof of payment, video confirmation, bank confirmation, source-of-funds checks, source-of-wealth checks, or other reasonable checks.

Source-of-Funds and Compliance Checks

For high-value orders, international transactions, unusual payment patterns, or transactions that raise compliance concerns, DiamondsByPost may request information about the source of funds or source of wealth used to purchase the diamond.

This may include requesting bank evidence, business documents, proof of income, proof of company ownership, payment origin information, or other reasonable documents.

DiamondsByPost may delay, refuse, cancel, or refund an order where the customer does not provide satisfactory information or where the transaction cannot be completed safely, legally, or commercially.

Suspicious Transactions

DiamondsByPost may treat a transaction as suspicious if:

1. Payment details do not match customer details.

2. Billing and shipping information appear inconsistent.

3. The customer refuses verification.

4. The customer pressures DiamondsByPost to ship urgently before verification.

5. The order involves a high-risk address.

6. The order involves a freight forwarder or third-party collection point.

7. The email address, phone number, payment details, or address appear suspicious.

8. The payment is attempted multiple times using different cards.

9. The customer uses multiple names or addresses.

10. The transaction is flagged by a bank, payment gateway, fraud tool, courier, insurer, or internal review.

11. DiamondsByPost reasonably suspects fraud, identity misuse, stolen card use, chargeback abuse, money laundering risk, sanctions risk, or other unlawful activity.

Where suspicious activity is identified, DiamondsByPost may delay, cancel, refund, investigate, or report the transaction where appropriate.

Right to Delay Shipment

DiamondsByPost reserves the right to delay shipment until payment verification is complete.

Delivery estimates are not guaranteed until:

1. Payment has cleared.

2. Verification is complete.

3. The diamond has been secured.

4. The supplier has released the diamond.

5. Shipping documentation has been prepared.

6. Courier and insurance approval has been completed.

DiamondsByPost is not responsible for any delay caused by incomplete verification, customer delay in providing documents, banking delays, payment processor review, customs review, courier security review, or supplier release delays.

Right to Cancel an Order

DiamondsByPost may cancel an order if:

1. Payment verification fails.

2. Identity verification fails.

3. The customer does not provide requested verification.

4. The payment is reversed, disputed, held, blocked, or recalled.

5. The transaction appears suspicious.

6. The order appears to involve fraud or chargeback risk.

7. The diamond becomes unavailable.

8. The listed price was incorrect due to technical, supplier, or data error.

9. The supplier refuses to release the diamond.

10. Shipment cannot be insured or completed safely.

11. The order breaches any DiamondsByPost policy.

12. DiamondsByPost is legally or commercially unable to complete the order.

If an order is cancelled, DiamondsByPost will refund any cleared payment received, subject to applicable deductions where lawful.

Refunds After Failed Verification

If payment verification fails and the order is cancelled, DiamondsByPost may refund the payment to the original payment method where possible.

Where permitted by law, DiamondsByPost may deduct:

1. Payment processing fees.

2. Card processing fees.

3. Gateway fees.

4. Bank charges.

5. Currency conversion costs.

6. Chargeback or dispute fees.

7. Administrative costs.

8. Supplier cancellation charges.

9. Any other costs incurred due to the failed or suspicious transaction.

If the payment is suspected to be fraudulent, stolen, unauthorised, or unlawful, DiamondsByPost may delay the refund while the matter is investigated by banks, payment processors, insurers, or authorities.

Chargebacks and Payment Disputes

Customers must contact DiamondsByPost at support@diamondsbypost.com before opening a chargeback, payment dispute, or bank claim.

If a customer opens a chargeback, payment dispute, or bank claim, DiamondsByPost reserves the right to provide evidence to the bank, card provider, payment processor, insurer, courier, legal representative, or authority.

This evidence may include:

1. Order records.

2. Payment records.

3. Customer communication.

4. Identity verification evidence.

5. Address verification evidence.

6. IP address and device data where available.

7. Product details.

8. Certificate details.

9. Courier and delivery records.

10. Tracking information.

11. Signature evidence.

12. CCTV or dispatch evidence where available.

13. Fraud screening results.

14. This Payment Verification Policy.

15. The Returns & Refunds Policy.

16. The Shipping & Delivery Policy.

17. The Terms & Conditions.

Fraudulent or Unauthorised Payments

If DiamondsByPost reasonably suspects that a payment is fraudulent, unauthorised, stolen, misused, or connected to illegal activity, DiamondsByPost may:

1. Refuse the order.

2. Cancel the order.

3. Hold shipment.

4. Request further verification.

5. Contact the customer.

6. Contact the payment provider.

7. Contact the bank.

8. Contact the courier or insurer.

9. Report the matter to relevant authorities where appropriate.

10. Preserve records for legal, compliance, insurance, or dispute purposes.

DiamondsByPost will not release a diamond where there is a reasonable suspicion that the payment is unauthorised or fraudulent.

Shipping Address Restrictions

DiamondsByPost may refuse to ship to:

1. A different name from the customer.

2. A different country from the billing country.

3. Hotels.

4. Temporary accommodation.

5. Freight forwarders.

6. Mailboxes.

7. Parcel lockers.

8. Shared offices.

9. Unverified business addresses.

10. High-risk addresses.

11. Any address that cannot be verified.

12. Any address that cannot be insured by the courier.

DiamondsByPost may request proof that the customer is connected to the shipping address.

If the address cannot be verified or insured, DiamondsByPost may cancel the order and refund the payment where appropriate.

Customer Responsibility

The customer is responsible for ensuring that:

1. All order details are accurate.

2. The customer name is correct.

3. The billing address is correct.

4. The shipping address is correct.

5. The payment method belongs to the customer or is properly authorised.

6. The customer has permission to use the payment method.

7. The customer can provide verification if requested.

8. The customer responds promptly to verification requests.

9. The customer does not instruct DiamondsByPost to ship before verification is complete.

10. The customer complies with this policy.

Failure to provide accurate information may result in order delay, cancellation, or refund deductions where lawful.

Data Protection and Security

DiamondsByPost may collect and process payment verification information for legitimate business, fraud prevention, compliance, dispute defence, legal, and order fulfilment purposes.

This information may include:

1. Customer name.

2. Billing address.

3. Shipping address.

4. Contact details.

5. Identity documents.

6. Payment confirmation.

7. Bank transfer evidence.

8. Transaction records.

9. Fraud screening data.

10. Communication records.

11. Delivery records.

DiamondsByPost will use reasonable measures to protect customer data and will only request information that is reasonably necessary for verification, fraud prevention, order fulfilment, legal compliance, or dispute resolution.

No Liability for Customer Bank Decisions

DiamondsByPost is not responsible for decisions made by the customer’s bank, card provider, payment processor, payment gateway, or financial institution.

This includes:

1. Declined payments.

2. Blocked payments.

3. Held payments.

4. Delayed payments.

5. Currency conversion charges.

6. International card fees.

7. Fraud checks.

8. Account restrictions.

9. Bank compliance reviews.

10. Chargeback decisions.

11. Refund processing delays.

The customer should contact their bank or card provider directly for questions about banking charges, declined transactions, conversion rates, holds, or processing delays.

Final Decision

DiamondsByPost reserves the right to make the final decision on whether payment verification has been completed satisfactorily.

DiamondsByPost may refuse, cancel, delay, refund, or investigate any order where payment verification is incomplete, inconsistent, suspicious, or commercially unreasonable to proceed with.

This does not remove any mandatory legal rights that cannot be excluded under applicable law.

Governing Law and Jurisdiction

This Payment Verification Policy is governed by the laws of the United Arab Emirates.

Any dispute relating to payment verification, order acceptance, payment processing, fraud prevention, chargebacks, refunds, cancellations, or shipment release shall be handled under the laws of the United Arab Emirates, unless mandatory law requires otherwise.
